“Why is it always my turn to organize\u00a0a BBQ or highway litter patrol (or whatever) with\u00a0my group of friends?” You fire up your email to start arranging things but wish you could avoid having to type each individual name (or email address) on the To: line.<\/p>\n

There’s an easy way to avoid that mind-numbing task–create a\u00a0Contact Group<\/strong>. It lets you compile email addresses into one list, give it a name, say “Escape Reality”\u00a0for this group, and then type in the name whenever you want to send a message to a group.<\/p>\n Best-in-class productivity apps with intelligent\u00a0cloud services that transform the way you work.<\/p>\n\t\t\t\t\t<\/div>\n\n\t\t\t\t\t\t\t\t\t<\/div>\n\t\t\t<\/div>\n\n\t\t\t\t\t<\/div>\n\t<\/div>\n<\/div>\n\n<\/p>\n In Outlook<\/strong>, click Contacts<\/strong>, and then click Contact<\/strong> Group. <\/strong>Type a name your group.<\/p>\n <\/p>\n <\/p>\n <\/p>\n To add your friends, click Add Members <\/b>and then choose where–from your Outlook Contacts<\/b> or Address Book<\/strong>, or by by adding a new Email Contact<\/strong>.<\/p>\n <\/p>\n <\/p>\n <\/p>\n In your Outlook Contacts <\/strong>or Address Book<\/strong>, select each name you want, and click Members<\/b>.<\/p>\n <\/p>\n <\/p>\n <\/p>\n When you’ve added all the names, click OK, <\/strong>then\u00a0Save and Close<\/strong>. You’re done creating a Contact Group<\/strong>, which now appears in your Contacts list.<\/p>\n So what happens when Joe’s wife wants to join in your Saturday-morning fun (really?) collecting aluminum cans along the highway? To add her to the Contact Group<\/strong>, you follow the same steps as above except you start by opening the Contact Group<\/strong> that you’ve already created, and then adding names to it.<\/p>\n <\/p>\n <\/p>\n Now emailing your do-gooder friends is as quick as texting–to one person anyway. Just type the name of the Contact Group<\/strong> on the To: line, and Outlook replaces it with all the individual email addresses in the group.\u00a0That’s a big difference, though,\u00a0between how this works in your personal Outlook account and the one you use at work. When you type the group name in your work account, it’s the only thing that shows on the To: line.\u00a0If you don’t want everyone to see everyone else’s addresses, type the Contact Group name on the BCC line.<\/p>\n <\/p>\n <\/p>\n <\/p>\n <\/p>\n <\/p>\n Share your Contact Group with others<\/b><\/p>\n Let’s say the Director of the State Highway Beautification Department wants to email all your friends at once. You can easily email him the Contact Group (if all your friends want to join the state bureaucracy) via email.<\/p>\n In Contacts<\/b>, open your Contact Group and on the Contact Group<\/b> tab, under Forward Group<\/b>, choose As an Outlook Contact <\/b>and send the email.<\/p>\n <\/b><\/p>\n <\/p>\n He can then\u00a0drag and drop\u00a0your Contact Group<\/strong> in his Contacts<\/strong> and email your friends when you’ve filled enough days filling trashbags to earn an Adopt-a-Highway road sign thanking the Escape Reality group.<\/p>\n <\/p>\n <\/p>\n <\/p>\n Check out more information\u00a0on Contact Groups:<\/strong><\/p>\nMicrosoft 365<\/h2>\n\n\t\t\t\t\t
