In today’s business environment, streamlined workflows and reduced manual tasks are essential. Microsoft AI Builder brings the power of advanced automation to routine processes like email handling, document processing, and image management, helping businesses run smarter and more efficiently. With new capabilities, including multi-modal content processing, structured JSON outputs, flexible model selection, Dataverse grounding, and an extensive prompt library, AI Builder elevates agents, apps and automation to the next level of business impact.

Next generation document and image processing with GPT

One of the most game-changing updates in AI Builder is the new multi-modal content processing capability, which allows businesses to handle various data types —including text, document, and images—within a single natural language instruction. This integration greatly simplifies the process of crafting AI actions for intelligent document processing. Unlike traditional machine learning models that require extensive training and expertise, AI Builder’s multi-modal processing can be set up using natural language, and without training data.

Structured JSON outputs now generally available

With AI Builder’s new structured JSON output feature, businesses gain a more deterministic and reliable way to handle generated content. Unlike traditional outputs that might vary in format and structure, JSON outputs are now generated with a consistent predefined schema that you define at design time, ensuring that every result aligns precisely with expected data formats. This determinism in content generation means your automated workflows will produce predictable, structured data every time, and those results will be readily integrated as variables in your Power Automate workflow for downstream processing. This feature is especially beneficial when integrating AI Builder outputs into other systems, as it reduces the need for additional data cleaning or transformation. Whether feeding data into a CRM, database, or custom application, you can ensure that data is generated in a structured and predictable way.

Dataverse grounding is now generally available

The new Dataverse grounding capability empowers Generative AI models with up-to-date, contextually relevant information from your organization’s own data. By employing Retrieval-Augmented Generation (RAG), AI Builder integrates directly with Dataverse to pull in real-time, business-specific knowledge, giving models a deeper understanding of your unique context.

This RAG-enhanced approach allows AI models to dynamically retrieve and incorporate relevant data from Dataverse during processing, enabling Q&A scenarios with accurate responses that are also highly contextualized to your organization. For instance, models can instantly access customer histories, product information, and up-to-the-minute operational data, enriching outputs with knowledge directly grounded in your business reality.

As part of this feature becoming generally available, the capability has been enhanced to support multiple tables, including tables with large amounts of data records.

Model selection: GPT-4o and GPT-4o Mini

AI Builder offers flexibility in model selection, allowing users to choose between the powerful GPT-4o and the cost-effective GPT-4o Mini. This adaptability enables customization based on specific project requirements and resource considerations.

Prompt library

The prompt library feature provides a collection of pre-designed prompts, serving as templates to expedite the creation of AI models. This resource accelerates development and ensures best practices are followed in prompt engineering. Users can modify templates to suit specific needs, adjusting language, tone, and detail to match organizational standards and requirements. The templates cover key areas like document extraction, data transformation, and content generation, making it easy for users to find the right starting point for their intelligent automation goals.

Use cases to get started

With AI Builder, you don’t need to be a coding expert to leverage the power of AI in your daily operations. By creating prompts that can extract information from documents, classify emails, and even analyze images, you can empower your team to work smarter, not harder. AI Builder works hand-in-hand with other Power Platform tools like Power Automate, Copilot Studio and Power Apps, enabling users to create intelligent workflows and applications that are customized to meet the needs of any business.

For example, let’s say your team frequently processes customer inquiries. Using AI Builder and Power Automate, you can design a workflow that analyzes the content of incoming emails, categorizes them by urgency or topic, and even suggests responses. This not only saves time but also keeps communication consistent and efficient. By setting up this automated flow, businesses can stay on top of customer interactions and ensure timely responses.

Are you ready to bring AI to your organization?

The AI Builder Documentation provides a comprehensive guide on setting up AI Builder, configuring models, and integrating it with tools like Power Automate and Power Apps.

For step-by-step tutorials, the Microsoft Learn AI Builder Learning Path is an excellent place to start. It covers everything from foundational concepts to advanced use cases, helping users of all levels become proficient in leveraging AI Builder to automate and optimize workflows.

For guidance and samples on using the multi-modal content processing and other prompts with Power Apps, you can use the Creative AI Kit in App Source or GitHub. The new samples that use multi-modal prompts include AI Image Diff, AI Describe Image, AI Fields from Image and AI Generate QnA.

The latest AI experiences in Microsoft Power Automate are redefining the boundaries of what is possible in enterprise automation—transforming how we optimize and manage business processes to achieve more. Developers can now create advanced automation faster, business analysts can quickly extract, analyze, and optimize critical processes, and IT administrators can seamlessly manage and govern automation at scale. Copilot in Power Automate makes it faster to build solutions that save valuable time and reduce costs, thereby achieving business outcomes. Step into the future with the Power Automate advanced, enterprise-grade intelligent automation solutions.

Build advanced, reliable automations faster with AI

Developers are key to business process innovation. In Power Automate, it is now possible to build automations that utilize AI within cloud flows using generative actions, easily use natural language to create expressions for flows with Copilot for expressions, and incorporate document processing into workflows with next-generation document processing. These features enhance developers’ ability to deliver solutions efficiently and effectively.

Introducing next-generation document processing with GPT

Efficient document management is vital for smooth operations and timely decisions, but traditional AI models require lengthy training and frequent updates. With GPT-4-powered document processing, now available in public preview, you can use natural language to extract and process unstructured data from documents like invoices, medical results, or emails. This next-gen tool handles multi-modal content, automating email, document, and image processing for improved productivity. For makers who want to blend in pro-code or gain greater control, we’ve added the ability to structure outputs using JavaScript Object Notation (JSON) directly inline. Makers can combine multi-modal content with enterprise knowledge from Microsoft Dataverse in their prompts. This feature enables makers to quickly deploy document and image processing directly into existing workflows using natural language instructions.

The post Microsoft Power Automate customer managed key support now generally available appeared first on Microsoft Power Platform Blog.

]]>
We are excited to announce the general availability of Microsoft Power Automate customer managed key (CMK) support for environments with flows. Cloud flows will now be automatically protected when customers apply CMK enterprise policy to an environment.

In April this year, we enabled the support for CMK for new environments sans flows. Any new flows created in these new environments were protected with CMK. Going forward, there will be no need to start with a new environment without flows to protect cloud flows.

As customers move more workloads from on-premises to the cloud, some need greater control over their data. With customer managed encryption keys, customers can bring their own encryption keys to secure all their cloud data at rest, to provide them with added control. While all customer data is encrypted using Microsoft-managed encryption keys by default, CMK provides added protection, especially for highly regulated industries such as Healthcare and Financial Services, to protect their cloud assets using their own key.

With CMK, customers leverage an encryption key from their own Azure key vault, which Microsoft does not have access to. Customers can configure an enterprise policy with that encryption key and apply it to any new Power Platform environment. Once this policy is applied, all the services that have support for CMK will be protected using customer’s key. This operation is purely an admin-led operation and is invisible to low code developers and other makers who continue to use the service exactly the way they do today.

The experience to apply CMK enterprise policy will now automatically protect any cloud flows in the environment by migrating the flows to CMK protected infrastructure. You can learn more about this capability and tools to help you assess readiness here. Once CMK is applied, flow definitions, flow actions and their inputs and outputs, and flow run history are protected using the customer’s encryption keys.

Automating processes doesn’t just save time and cut costs—it can revolutionize how your business operates. With the right automation solution, you can unlock new levels of operational efficiency, boost employee productivity, and drive business growth.

This post highlights key findings from a 2024 Forrester Consulting Total Economic ImpactTM study commissioned by Microsoft, demonstrating how real customers significantly reduced operational costs while increasing productivity and innovation with Microsoft Power Automate.

The Total Economic Impact™ of Microsoft Power Automate

See cost savings and business benefits enabled by Power Automate.

By consolidating automation onto a single platform, reducing licensing costs, and streamlining management, customers achieved an estimated USD9.5 million in cost savings over their legacy systems. The Forrester study also found that a composite organization based on interviewed customers saw a considerable three-year return on investment (ROI) of 248% and a payback period of less than six months—accruing to a net present value (NPV) of USD39.85 million

Foster a culture of innovation with Power Automate. A recent study by Forrester Consulting shows that Power Automate can deliver an ROI of 248% over a 3 year period by optimizing processes, unlocking productivity, reducing legacy system costs, and empowering employees. A vice president at an entertainment company is quoted saying, “Power Automate has changed our culture, as people are now thinking about innovation and continuous improvement. Our C-suite is seeing some of the use cases that people are building, and they’re saying “Wow, that is game-changing.”

Read on to see how our customers are leveraging low-code automation to reimagine their business and sharpen their edge in a highly competitive landscape.

Drive efficiency to save time and cost

Prior to adopting Power Automate, customers struggled with complex, hard-to-use automation tools that made integration with existing data and systems cumbersome and costly. To add to it, scaling adoption of these tools and ensuring governance was also a top priority.

Power Automate addresses these challenges by combining cloud automation, UI (user interface) automation, and AI into a single cloud-based solution, empowering modern businesses to streamline everything from simple tasks to more advanced workflows.

The Forrester study found that employees involved in high-volume, repetitive tasks like data entry, invoicing, or document gathering saw the most significant impact from robotic process automation (RPA) in Power Automate—saving 200 hours per year. When scaled across departmental processes, it can yield substantial results. For example, a pharmaceutical organization interviewed for the study reported saving 11,000 hours by running 72 RPA automations for document processing.

Power Automate delivers strong returns. A recent study by Forrester Consulting shows that Power Automate can deliver an ROI of 248% over a 3 year period, and save 200 hours per year for every employee involved in high-impact RPA use cases. An automation leader at a financial services firm is quoted saying, “For RPA overall last year, we saved a million manual hours. This year, we would like to automate $30million worth of work with just Power Automate RPA.

It was also found that developers saved 20% in automation development time by simplifying integration and reducing the need for complex coding. Intuitive user interfaces streamlined workflow creation and maintenance, while low-code technologies made it easy to integrate AI functions into RPA workflows. As a limited and highly valuable resource, professional developers use Power Automate to accelerate deployment and reinvest their time into more strategic and innovative projects that drive business growth.

“We are using AI Builder and I think that is the advantage of Power Automate. You can use the connector-based functions that are super easy to code and then marry in the Power Automate desktop interface to do some of the other functions…Compared to when we started doing RPA [with our previous solution], the time it takes the team to automate a process is around a fifth.”

Automation Leader, Financial services firm

Foster a culture of innovation to drive continuous improvement

Even with advanced automation, development resources are frequently prioritized on the most mission-critical enterprise processes, leaving significant potential value untapped in individual, team, and departmental automation. These underserved areas present a tremendous opportunity for time and cost savings.

High-impact use cases for automation typically center around core business processes, driving the bulk of time savings. However, by expanding the footprint of RPA to cover a broader range of use cases, organizations can unlock additional value. According to the study, this expansion can deliver the composite organization 40% more value from medium-impact use-cases, translating to 120,000 hours of time saved by year three, up from 72,000 hours in year one.

Power Automate empowers non-technical users to engage in process improvement through AI-powered, low-code tools, including easy-to-use drag-and-drop functionality, desktop recording, and out-of-the-box connectors for API integration. By democratizing automation, organizations enable employees—those closest to the business and customer challenges—to respond swiftly to new opportunities and challenges.

“We had 150 or 200 people in IT that could code, but now we have 1,000 developers with low-code. You can get more things done and it galvanizes the organization in saying ‘Hey, you’re empowered to solve your own problems. You don’t need to wait for other people, and you don’t need to rely on other departments.’”

Vice President, Entertainment

This can be achieved without compromising on the visibility and control. By combining intuitive, powerful automation tools with built-in security and governance, Power Automate ensures that IT teams are well-equipped to manage, monitor, and secure your valuable data and systems.

“[Microsoft Power Platform] gives us increased visibility into everything that people are doing within [Microsoft Power] Platform, allowing us to govern it in a way that we deem safe and appropriate.”

Director, Professional services

With a strong Center of Excellence led by IT, business leaders can expand adoption of automation while maintaining visibility and control. Organizations shared that empowering everyone to proactively solve issues fostered collaboration with IT teams. Instead of circumventing IT and using inefficient, unsanctioned tools, business users became valuable partners in the automation journey, contributing to more efficient and secure processes.

Extend automation with Microsoft Power Apps to scale impact

Many processes require communication and collaboration across multiple stakeholders, including front-line workers who initiate or participate in critical processes from the field. When high levels of engagement are needed, customers found that integrating custom applications to workflows compounded the impact of RPA.

Amplify the impact of Power Automate with Power Apps. A recent study by Forrester Consulting shows that extending automation with Power Apps can increase the impact of automation to organizations as follows: productivity by a factor of 2.2, adoption by a factor of 2.6, and efficiency savings by a factor of 3.4. An director at a professional services firm is quoted saying, “We are absolutely able to automate more processes and more complex processes now. We’re able to get about four times as many automation prototypes into the hands of users. We’re seeing increased adoption of the tools because the user base is now feeling like their needs are heard and responded to quicker.
 • Productivity lift: The hours saved per year for employees involved in high-impact automation use cases increased from 200 hours to 450 hours
