For makers who want to blend in pro-code or gain greater control, we’ve added the ability to structure outputs using JavaScript Object Notation (JSON) directly inline. Makers can combine multi-modal content with enterprise knowledge from Microsoft Dataverse in their prompts. This feature enables makers to quickly deploy document and image processing directly into existing workflows using natural language instructions.

Transform your automation processes with generative actions 

Generative actions allow you to add AI-powered steps to your cloud flows, letting AI reason over enterprise guardrails provided in unstructured content format such as documents and PDFs, and decide the best course of action for complex tasks. For example, with generative actions you can automate conditional approvals based on the content of incoming emails and company policies. This feature, currently in the Early Access Program, is coming soon to public preview, when you will be able to create, edit, test, and run generative actions all from within the cloud flow designer. 

Create and edit expressions faster with Copilot 

Copilot for expressions, now in public preview, is designed to assist developers and makers in creating or editing complex expressions using natural language. By simply describing what you want to build and referencing the dynamic data in the flow, Copilot translates your prompts into specific expressions in your Power Automate flow, speeding up development and reducing manual coding time.

Streamline automation and operations  

Monitor and manage at scale with new automation center 

Automation center, now generally available, is a central hub for efficient monitoring and troubleshooting experiences for automation processes across Power Automate at scale. The automation center provides comprehensive visualizations that enable you to monitor the health of your automations, quickly detect issues or trends, and troubleshoot problems more efficiently. 

Whether you’re a developer, operator, Center of Excellence team member, or business analyst, the automation center provides a centralized view of all automation activities. Now generally available, it features a user-friendly interface with dashboards that show recommendations, the health status of work queues, and desktop flow activity. Additionally, new views for execution logs, performance metrics, and integrated agents are now available in public preview.

Improve robotic process automation (RPA) reliability using repair with Copilot 

Repair with Copilot, now in public preview, simplifies resolving user interface (UI) control issues in both attended and unattended RPA with Power Automate for desktop. By proactively providing solutions to common automation issues, such as notifying the right person in the automation center, repair with Copilot reduces downtime for RPA scenarios.

Streamlining security access requests

Microsoft Customer Experience & Success (CE&S) is one of the largest customer support teams in the world. With over 17,000 employees worldwide, CE&S is responsible for shaping the strategy, design, and implementation of Microsoft’s end-to-end customer experience.

For one of their projects, CE&S focused on their Just in Time (JIT) security process used to grant access to resources.  “Leveraging the process mining capabilities in Power Automate, we wanted to explore ways to improve our responsiveness – without compromising on security,” says Kirk McNesby, Senior Business Process Manager at Microsoft. 

In just one week, CE&S successfully deployed process mining and began gathering insights. “With process mining in Power Automate, we were able to easily input data and immediately jump behind the wheel to do meaningful exploration,” says Kirk. “We had no prior knowledge or training. We were ingesting data and learning how to use the tool – all at the same time.”  

To begin using process mining, over 14GB of event log data (consisting of SR events and JIT security logs) was loaded into the tool. The team was particularly impressed with the easy-to-use interface. “We liked the out of the box presentations. Variances were presented in a clear, visual format and filtering worked really well with our data,” says Kirk.  

The team used the filtering capabilities within process mining to quickly segment access requests by type and looked for patterns that would contribute to optimization. This strategy revealed bottlenecks in a specific access request for users acting as backup support on cases when the main support engineer was unavailable.

By automating approvals for this scenario, the team estimated that they could automate up to 54,000 approval requests per year, saving users 13,200 hours of wait time. As Kirk adds, “The process mining capabilities in Power Automate were critical to achieving insights this quickly.”

The IT Tipster

IT Tipster connector allows the end user to generate code128 barcodes and QR codes by passing in a simple text string to the connector. The barcode and QR code are returned to the user in base64 format.

Microsoft Bookings

With this change, customers can select a booking page from the drop-down menu instead of entering the SMTP address for creating a Bookings trigger. We have also powered the connector with newer APIs for the experience to be better. If you run into any connection related issues, please delete and recreate Bookings connection from Data->Connections tab as we have updated our APIs as well for this new change.

Data Activator Early Access

Data Activator is a no-code experience in Microsoft Fabric for automatically taking actions when patterns or conditions are detected in changing data. It monitors data in Power BI reports and EventStreams items, for when the data hits certain thresholds or matches other patterns. It then automatically takes appropriate action such as alerting users.

Using the Data Activator Power Automate connector, you can generate actions in external systems when your Data Activator triggers activate. This can be useful for sending notifications, creating action items in ticketing systems, or calling line-of-business apps from within Data Activator.

To establish a successful automation culture, you typically need to build an Automation Center of Excellence (CoE) to maximize your organization’s investments and define guardrails to develop RPA and other hyperautomation scenarios for digital transformation in a controlled manner.  Back in December 2021, we blogged about HEAT (Holistic Enterprise Automation Techniques) and automation adoption best practices.

We also released a private preview version of Automation Kit (previously Automation CoE Starter Kit), which has been implemented by many customers across the globe at early stages of the development.

Today, we are happy to introduce the Automation Kit for Power Platform, now available to the public as an open source GitHub project.

What is the Automation Kit?

The Automation Kit for Power Platform is designed to help organizations manage, govern, and scale automation platform adoption based on industry best practices. The toolkit is a collection of components and tools based on HEAT concepts and built using Power Apps and Power Automate, so you can easily extend and customize the kit to your needs.

The Automation Kit for Power Platform helps you accelerate your organization’s automation CoE. It includes a set of Power Apps applications and Power Automate flows that provide ready-made solutions to manage your automation projects, capture near-real-time value tracking, and gain insights to your automation initiatives. The kit was built based on feedback from customers across the globe using Power Automate as their choice of hyperautomation and RPA platform.

Case study: Cineplex accelerates establishing their Automation Center of Excellence with Automation Kit

Cineplex Inc. is a leading media and entertainment company that welcomes millions of guests through its 170+ cinemas and entertainment venues.

Bo Wang, Vice President of Taxation & Treasury, started using Power Automate desktop flows back in September 2020 to automate business processes within his team. After realizing the benefits in process efficiencies and time savings, he decided to set up the Automation Center of Excellence so that he could further scale the use of Power Automate across the entire organization. Once the automations are established, the organization can then track the savings and track them against goals.

• Preparing recordings for analysis is time consuming.
• Requiring users to set recordings as “Ready to analyze” introduces additional friction on the path to insights.
• Navigating from the recorder to recording details requires too many clicks.

Read on to discover how we are alleviating these pain points and really reducing the amount of time and number of clicks to get to insights.

 Auto create activities from recordings

We have heard your feedback! Manually preparing screen recordings can be painful. Previously you needed to:

1. Review the recorded actions (e.g. mouse clicks or keyboard events)
2. Identify sensible groupings
3. Define a label for each group, AKA activity

Thankfully, Process advisor now support auto creating activities from the recording. We automatically group related recorded actions into a single activity and create a label that accurately describes the user’s action, leveraging the application and window used. You can accept auto created activities as is, you can edit individual auto created activities, or delete all auto created activities and create your own from scratch.

Editing the activities in anyway will remove the “Auto created” tag so you know which activities were edited or added after. This solution helps first time users quickly understand their process activities, while more advanced users have a starting point to fine tune the activities to get the desired results.

Removal of “Ready to analyze”

With the addition of auto created activities, we wanted to streamline the steps to getting to analytics. Having to toggle ready to analyze every time was more of a hinderance than of value. Now, as long as you have two activities in your recording, you are ready to analyze!

Link back to Process advisor from recorder

We added a button once you have finished recording to open the recording details in Process advisor portal. Previously you had to navigate to the page on your own, which required many clicks and was another source of additional friction.

During your digital transformation journey at an enterprise level, you might wonder if you are tackling the correct processes to automate, or if you are setting up process automations in the most optimal way before starting.  Process mining and Task mining are technologies that provide visibility into how your operational processes look like, not what people guess they look like. With such knowledge, you can fully unlock the benefits of automation.

Process Mining: Identify company-wide bottlenecks and inefficiencies in main operational processes

Process mining uses event logs of key enterprise systems to reveal the steps and variations in completing a specific process. For example, if you use Dynamics apps to manage your Sales process, you could look for event logs from Dynamics for Sales to start with Process mining.

You can use Process mining to improve larger processes with a specific goal such as: Purchase to Pay, Inventory management, Account Receivable, etc…

Task Mining: Discover possibilities for automation for individual workflows

Task mining can capture the user activity and interaction on the desktop. A user records their task using Power Automate Desktop and contributes such recording to the process analysis by Process Advisor. Multiple recordings can represent diverse ways people perform the same process, and Process Advisor analyzes them to synthesize an overall process map.

Some example of use cases for Task mining are tasks such as invoicing, data entry, getting a more granular analysis of activities within a process, and understanding how different applications are used so you can discover automation opportunities and improve efficiency of the process.

Since Dataverse for Teams entered preview in September, many organizations have been using Power Platform in Teams, driven by the ease of use of Dataverse for Teams as a low-code back end.  Let’s look at how Power Automate can be used in Dataverse for Teams.

 
Easily add automations to Dataverse for Teams App

With Power Automate’s integration to Dataverse for Teams, users can easily add automation to apps built with Dataverse for Teams.  Figure 2 shows the ‘solution explorer’ view in the Teams UI and the list of flows created using Dataverse for Teams for one team.  With Dataverse for Teams, the apps, bots, and flows are created by team members of a given team.  While a team owns the apps, bots, and flows, they can be shared organization-wide if desired.

Power Automate’s UI makes it very easy to create a step-by-step view of the automation a user creates.  That same easy to follow UI is available in Dataverse for Teams.  It is seamlessly embedded into Teams so users can create their automation right from Teams as shown in figure 3.  With Power Automate in Dataverse for Teams, users have the same rich experience offered by the native Power Automate service.  The seamless integration across the multiple connectors and ease of use in Teams, makes it easy to create powerful automations for apps right inside the Teams experience.  With Dataverse for Teams, automation for apps and bots is an easy, seamless process, and enabled within the collaborative environment of Teams.  It is a powerful example of the benefits of integration and combining collaboration and creativity.

After completed purchasing, as the “mini admin” for your subscription, you will be able to go to M365 admin center to manage everything about this subscription including renewal, cancel, assign to user or unassign plans etc.

Here are some notes that you should be aware of:

1. The direct purchasing experience is for commercial or non-profit clouds only. It is not available for governance sovereign or education clouds.

2. MSA account is not supported to do direct purchasing at this time.

3. Your M365 tenant/org admin still can choose to block the direct purchase channel from the whole org. In that case, you will be shown an messaging stating that. However you will still be able to submit a request to your admin directly within the same UI. When the admin receives your request, they can approve by assigning a corresponding license, or deny this request.

4. Your M365 tenant/org admin will have limited visibility on your specific subscription (they will not be able to manage your user assignment, view or use your credit card information etc.) However, they will still have the option to cancel your subscription, or to move this subscription into the centralized managed org subscription if they choose to.

5. Direct purchasing does not support the unattended add-on because that is a tenant wide capacity, which will still require tenant/org admin to purchase. Here is the details steps need to be followed regarding how to purchase unattended capacity or start an unattended trial.
